1. Introduction: Bifocal Insights, LLC (“Bifocal,” “we,” “us,” or “our”) is a market research fieldwork agency specializing in healthcare and B2B research. We recruit and engage healthcare and industry professionals—such as physicians, nurses, hospital leaders, payers, and other experts—for paid interviews, focus groups, and online surveys. This Privacy Policy explains what personal data we collect, how we use it, when we share it, and your rights.
2. Information We CollectWe collect data you provide directly and data generated through our services. Types of information include:
· A. Personal Information (PII)- Name, professional title, employer, specialty, contact details (email, phone).
- Payment and tax details (for honoraria): payment method, payment account details, tax ID where required.
- Recruitment and eligibility details (licenses, credentials, practice setting) and optional demographic information.
· B. Research Data
- Survey responses, interview or focus group contributions, and any recordings or transcripts (with consent where required).
- Notes or coded data produced by our research team.
· C. Technical & Usage Data
- IP address, device type, browser, cookies and similar technologies used to operate and improve our online services.
3. How We Use Your Information: We use personal data for clear, limited purposes: to determine eligibility for projects, schedule and administer participation, process honoraria, perform research analysis, and comply with legal obligations. We do not sell or lease personal information.
4. Data Sharing and Disclosure: We protect respondent confidentiality and limit sharing as follows:
· A. Research Sponsors
Sponsors (e.g., pharmaceutical, medtech companies) receive only aggregated, anonymized, or de-identified results. We do not provide sponsors with PII.
· B. Third-Party Service Providers
We may share limited data with subprocessors who support recruitment, survey hosting, transcription, payment processing, and analytics. Subprocessors are contractually required to keep personal data confidential, use it only for the contracted purpose, and not disclose PII to end sponsors.
· C. Legal and Safety Disclosures
We may disclose data if required by law, legal process, or to protect rights, safety, or property. We will notify affected individuals when required by law.
5. Cookies and Tracking

6. Retention of Data
We retain personal data only as long as necessary for the purpose collected and to meet legal or contractual obligations. 10. Data Subject Request Procedure
To submit a request: email privacy@bifocalinsights.com with Subject: "Privacy Request" and include your full name, contact information, and a description of the request. We may ask for identification to confirm your identity. If you are a California resident, you may also use the Do Not Sell or Share My Personal Information link on our website.
11. Security Measures and Breach Notification
We implement reasonable administrative, technical, and physical safeguards to protect personal data (encryption, access controls, secure data transfer, staff training). In the event of a security incident that affects personal data, we will investigate and, where required by law, notify affected individuals and regulators without undue delay.
12. Subprocessors and Vendor Controls
We engage subprocessors (survey platforms, payment gateways, transcription services, recruitment vendors). Before engaging a subprocessor we conduct due diligence and require written contracts that include confidentiality, data use limitations, security obligations, and a prohibition on sharing PII with end sponsors. A current list of active subprocessors is available on request.
13. HIPAA and Health Information
Bifocal Insights is not a HIPAA-covered entity. We do not routinely collect protected health information (PHI) as defined by HIPAA. If a project requires PHI, we will only process it under a Business Associate Agreement (BAA) and apply HIPAA-required safeguards and access controls.
14. De-identification and Reporting Practices
Before delivering results to sponsors, we remove direct identifiers and apply aggregation and suppression rules to prevent re-identification (for example, combining small cells or suppressing cells below a minimum count). Where appropriate, we document the de-identification methods used.
15. Payments and Tax Handling
We use secure payment processors to issue honoraria. Payment account details and tax information are stored only as needed to process payments and meet legal requirements. In the U.S., participants may receive a 1099 or other tax form when required by law.
16. Children’s Privacy
Our services are intended for professionals and adults. We do not knowingly collect personal data from children under 18 (or the applicable age in your jurisdiction). If we learn we have collected data from a minor, we will delete it unless we have parental consent or are otherwise permitted by law.
17. Automated Decision-Making and Profiling
We may use automated systems to match respondents to projects (e.g., eligibility filtering). Such processing is designed to support recruitment and not to make legal or other significant automated decisions about individuals. If automated processing will have a legal or similarly significant effect, we will provide notice and options as required by law.
18. Do Not Sell or Share My Personal Information (CCPA/CPRA)

We collect contact and professional details so we can invite you to relevant paid research. We may record or take notes during interviews (with your permission). We will pay you for your time. We will not give your name or contact details to study sponsors. Sponsors only see anonymous summaries or aggregated results. You can ask us to see, correct, or delete your data by emailing privacy@bifocalinsights.com.
21. Changes to This Privacy Policy
